Privacy policy

How FESK.UK collects, uses and protects your data, in plain English, the way we’d want it explained to us.

Overview

FESK Group Ltd (“we”, “us”) provides job-management software to field and workshop teams. This policy explains what personal data we hold, why we hold it, and the choices you have. It applies to our website and the FESK.UK web and mobile apps, and is written to meet the UK GDPR and the Data Protection Act 2018.

The short version: we only collect what we need to run your account, we never sell your data, and your customer records are yours — export or delete them whenever you like.

What we collect

We collect information you give us and information generated as you use the product:

  • Account details: your name, email, business name and role.
  • Operational data: the jobs, customers, schedules, notes, photos and timesheets you create in the app.
  • Billing data: handled by our payment processor, Stripe. We store only the last four digits and the expiry date, never the full card number.
  • Usage data: device, browser and feature usage, to keep the service reliable and to fix faults.

How we use it

We use your data to provide and improve the service, take payment, give support, and send essential service messages. We rely on the following legal bases:

PurposeLegal basis
Running your account & jobsPerformance of a contract
Taking subscription paymentPerformance of a contract
Keeping the service secure & reliableLegitimate interest
Website analyticsConsent for the visitor ID. Legitimate interest for counting visits.
Marketing emailsConsent (opt-in, opt-out any time)

Cookies

We keep cookies to a minimum. Essential cookies keep you signed in, hold your session and protect forms against cross-site request forgery. These can’t be switched off without breaking the app. On our website we ask before setting analytics cookies. If you accept, we set a visitor ID that lasts a year so we can see return visits. If you decline, we still count visits, but without a visitor ID. Stripe sets its own cookies on the sign-up and payment pages to help prevent fraud. We don’t run advertising cookies.

Sharing and processors

We never sell your data. The services below receive some of it so we can run FESK.UK. These are the main ones. The full list, with what each one receives, is on our GDPR page.

  • IONOS (hosting and email): our servers, the database and your uploaded files are in the United Kingdom. IONOS also sends the app’s email.
  • Cloudflare (off-site backups): keeps a copy of the database and uploaded files, taken every night, which may be held outside the UK. Visits to the fesk.uk website also pass through Cloudflare’s network.
  • Anthropic, Claude API (AI tools): when an AI tool is used, such as Ask AI, Front Desk or Document Import, Anthropic receives what was typed or uploaded and the job, customer or staff details the tool looks up. When a new customer looks like an existing one, their details and those of the similar customers are sent to check for a duplicate. Anthropic is a US company, and this processing happens outside the UK.
  • Twilio (texts): sends texts if your business turns them on. Lone-worker alerts go by text even when texts are off. Twilio receives each phone number and message. Twilio is a US company.
  • Stripe (payments): card details go straight to Stripe. We never see the full card number.
  • Google (fonts): our pages load their fonts from Google, which receives your IP address.
  • OpenStreetMap and OSRM (maps and routes): receive job addresses and map positions, only when Route Planner or On my way is used.

Some services are used only if a business connects them, under its own agreement with that provider: accounting software such as QuickBooks, its own Twilio account or mail server, and Stripe for taking payments from its customers.

Your data is stored on our servers in the UK. Some of the services above work outside the UK. We back up every night and keep a copy off-site.

Your rights

You can access, correct, export or delete your personal data at any time. Most of this is self-serve from your account settings; for anything else, contact us and we’ll act within one month. You also have the right to complain to the Information Commissioner’s Office (ICO), though we’d appreciate the chance to put things right first.
